122 Years of Tradition, Modernized for What's Next

Company Overview

The Original Santa Claus Parade is North America's longest-running annual children's event and the longest-running Christmas parade on the continent. Now in its 122nd year, it draws over 700,000 people to the streets of Toronto and reaches a national broadcast audience - having run uninterrupted through two world wars and multiple pandemics.

For an organization with that much history, the challenge wasn't growth. It was making sure decades of institutional knowledge didn't live in just one person's head.

The Challenge
Long-running organizations build routines that work - until the people who built them start to move on.

For the parade, that meant handwritten checks, manual processes, and a controller and board who spent real time on approvals that should have been simple.

“It was a time-consuming venture for our controller, for myself, for our board of members who had to approve expenses.”

The bigger risk wasn't inefficiency - it was dependency.

“Any organization that's had the brain trust lie with one individual has had those moments of, what would happen... if this person left.”

Leadership knew that modernizing wasn't just about going digital. It was about building a team around the finances, not a single person.

The Solution
The parade partnered with Scalability to modernize their finance function while keeping the controls that matter to a board-run organization.

From the outset, the focus was on two things:

  • Digitizing manual, paper-based processes without losing control or oversight

  • Replacing single-person dependency with a team that has full visibility

The transition was collaborative from day one - working through exactly what access was needed, and where, to keep the right checks in place on both sides.

“There was a sense that it was a collaborative process... a way for us to find the best middle ground, so that we're maintaining control on our side of things but also not limiting the access Scalability needs to do their job correctly.”

The Results

1. Digital Transformation, Without Losing Control

Scalability didn't just digitize - they anticipated. The team came in already knowing the right questions to ask.

“There was a ‘have you thought about this? We're going to need access here.’... it also gives you more insights, because the Scalability team is asking the right questions.”

2. Redundancy Where There Used to Be One Person

The parade now has a team with eyes on its finances - not a single point of failure.

“Now there's a team of people who have eyes and line of sight on how you're managing things from a financial perspective.”

3. Always-On Support

There's a senior point person, backed by a team that's genuinely responsive.

“That always-on support... you feel like there's always someone who's watching and ready to assist. That's invaluable.”

4. A Proactive Partner

Where administrative work often falls down the priority list for lean teams, Scalability made sure it didn't.

“Once we opted to work with Scalability... that wasn't allowed to happen. The team was like, ‘No, we're here - let's keep pushing this forward.’”

Final Thoughts
For the parade, the shift wasn't just about modern tools - it was about resilience.

They moved from:

  • Single-person dependency → A team with full visibility

  • Manual, paper-based processes → Modern digital infrastructure

  • Reactive administration → A proactive financial partner

Clayton's advice to other leaders facing the same crossroads: proper infrastructure is easy to deprioritize - until you have a partner who won't let you.

“There was a never-rest attitude in terms of getting the right next steps done. We were thankful for that.”
